Our Privacy Policy

 

Who Are We

 Dupplin Estate, operating solely out of the Dupplin Estate Office, Perth, PH2 0PY incorporates The Dupplin Trust 2000, Aberdalgie & Forteviot Farm Partnership, John Dewar Lamberkin Trust and Lord Forteviot and Alexander Dewar Estate, DRECO (all of which are separate legal entities).

Our Privacy Policy sets out information on the details we keep and when and why we collect your personal information, how we use it, the limited conditions under which we may disclose it to others and how we keep it secure.

We would not sell, rent or trade contact details or client information with other companies and businesses for marketing purposes.

Types of Data we collect

 In order to provide to you the best possible service, Dupplin Estate sometimes need to collect information (including sensitive personal information) about you. We may collect and process the following data:

Information you give us. You may give Dupplin Estate information about you by filling in enquiry or order forms, whether at our office or on our Facebook book page, Holiday Lettings website or Firewood website, or by corresponding with us by phone, e-mail or otherwise. This includes information you provide when you use the website, subscribe to and/or access our Facebook page, participate in discussions, blogs, or other social media functions. The information you give Dupplin Estate may include your name, address, e-mail address and phone number, disabilities and details about your personal health, financial and credit card information, personal description and/or passport information.

Information we collect about you. With regard to each of your visits to the firewood or holiday lettings website we may automatically collect the following information: technical information, including the Internet protocol (IP) address used to connect your computer to the Internet, browser type and version, time zone setting, browser plug-in types and versions and your operating system and platform.

Information we receive from other sources. Dupplin Estate may receive information about you from other sources such as previous landlords, employers or anyone else providing information for referencing purposes. For holiday lettings purposes we may look at your Airbnb or Homeaway reviews from other holiday lettings operators you have contracted with on those sites.

We work closely with third parties (including, for example, organisations with whom we are professional members e.g. Scottish Association of Landlords (SAL), Scottish Land and Estates (SLE), letting agents, sub-contractors for repair and maintenance work, credit reference agencies, solicitors and Perth and Kinross Council and may receive information about you from them. Information shared with professional membership bodies such as SAL, SLE will be anonymised as it is generally used for the purposes of seeking advice. For holiday lettings your details may be supplied to us by one of our bookings partners (currently either Airbnb or HomeAway.co.uk). Details on their data privacy policy and how they manage your data is contained on their websites.

How do we use the information we collect

Dupplin Estate use Information held about you in the following ways:

 Information you give to us:

We use this to carry out our obligations arising from any contracts entered into between you and any of the entities on Dupplin Estate, and to provide you with the information and services that you request from us.

  • to notify you about changes to Dupplin Estate services;
  • in the event that you raise an enquiry, complaint, suggestion or provide praise in relation to us, your Information may be forwarded within the organisation (or to our supporting partners such as Savills where additional advice may be sought) or when investigating an incident, to provide a response and for general record keeping purposes. Where possible, when dealing with third parties data will be anonymised.

 Information we collect about you. We will use this Information;

  • to administer our websites and for internal operations, including troubleshooting, data analysis, testing, research, statistical and survey purposes;
  • to improve our websites to ensure that content is presented in the most effective manner for you and for your computer;
  • as part of our efforts to keep our websites and social media secure.  If you post or send offensive, inappropriate or objectionable content anywhere on, or to, our sites, we may use your Information to stop such behaviour;
  • for market research purposes, for example, the viability of future services

Information we receive from other sources. We may combine this information with Information you give to us and Information we collect about you. We may use this information and the combined information for the purposes set out above (depending on the types of information we receive).

Information we may share with relevant third parties. We may share your anonymized data with private organisations to provide services to assist us, for example, to provide meaningful analysis of market research data collected. 

We may share your personal contact details, following verbal or email consent, with third parties operating under our approved contractors list for the purposes of property management repair or upgrade. 

We require and ensure full adherence with data protection via our instructions and contracts with any relevant third parties

Where we propose to use your Information for any other purposes we will ensure that we notify you first.  You will also be given the opportunity to withhold or withdraw your consent for use of your Information for additional purposes which are not listed above.

Where we Store your Data

 All information you provide to us is stored on our secure server or if it is provided manually in paper format in a locked cabinet within our offices.  We will take all steps reasonably necessary to ensure that your data is treated securely and in accordance with this privacy policy.

Unfortunately, the transmission of information via the internet is not completely secure. Although we will do our best to protect your Information, we cannot guarantee the security of your data transmitted to our websites. Any transmission is at your own risk. Once we have received your Information, we will use strict procedures and security features to try to prevent unauthorised access.

Access to your Personal Information

You are entitled to view, amend, or delete the personal information that we hold. Email your request to our data protection officer:
